Logging into your new computer:

  1. Unpack the device and plug it in. Turn it on.
  2. If the device supports multiple languages, choose a language, locale, and keyboard layout.
  3. Connect the device to a wireless or wired network with internet access. If using wireless, connect to the Wi-Fi network. Note that the device may reboot after this step.
  4. When you see the “Welcome to Your Company Name” screen, enter your email address, password, and MFA (multi-factor authentication) for your organization account.

If you are unable to login using your company account or do not see the “Welcome to Your Company Name” screen, please contact [email protected] or call 204-289-3036 for assistance.

Next, you will be prompted to download and setup the Microsoft Authenticator app on your smart phone

New MFA registration experience

After setting up MFA, you will need to enter a second authentication code each time you log in from a new device or browser. This code will be displayed on your phone and must be entered after entering your username and password (number matching). For more information on how to set up MFA, please refer to our guide. Microsoft recommends replacing phone-based MFA solutions, such as one-time codes sent via SMS or voice calls, with newer technologies such as app-based authenticators and security keys.

Here are some special scenarios:

Scenario#1: The same named user would like to register multiple devices for MFA (Same named user with Multiple Authenticators)
Solution1: If the user has at least one device registered for MFA, then they can head over to https://aka.ms/mfasetup, login with that account and register additional devices for MFA as per the instructions by scanning a QR code
Solution2: please reach out to [email protected] and we can push an MFA device registration wizard (without invalidating the existing MFA devices) as needed.

Scenario#2: Different named users would like to register different devices for MFA: (More than one named user requires access to the same mailbox (Multi-user access)
Solution1: An owner with existing access can head over to https://aka.ms/mfasetup, login with that account and register additional devices for MFA as per the instructions by scanning a QR code
Solution2: please reach out to [email protected] and we can push an MFA device registration wizard (without invalidating the existing MFA devices) as needed.
For best experience, we recommend that users ensure they are running the latest version of:

  • Microsoft Windows 10 (Operating system)
  • Office 365 Desktop Apps (Excel, Word, Outlook, PowerPoint)
  • Google Chrome or Microsoft Edge (Browser)

Steps to Add an Additional 2FA Device to Microsoft 365

  1. Log In: Go to Microsoft 365 and sign in.
  2. Open Security Settings: Click your profile > View account > Security info.
  3. Add Method: Click Add method or Set up another method.
  4. Choose Method:
    • Authenticator app: Scan the QR code using the app.
    • Phone: Enter your number for SMS or calls.
    • Security key: Follow prompts to set up a hardware key.
  5. Verify: Complete the setup by verifying the new device.

To access Microsoft Outlook:

From the Computer:

– Outlook Web or OWA – This is our recommended option 

1- visit https://portal.office.com > click on Outlook or directly https://outlook.office.com/mail (for best experience we recommend Microsoft Edge https://www.microsoft.com/en-us/edge)

2- Install OWA as a Progressive Web App (PWA) as shown below

– Outlook Desktop – If you’re planning on using Outlook Desktop, for best performance there is a requirement for maximum 30 days retention to auto move mail from primary inbox into the Online In-Place archive mailbox which will be searchable from your Outlook Desktop or OWA from the left-hand side panel.

– Make sure to set your Outlook Desktop Sync Slider to 1 month in Outlook and ask our Team to enable Archiving with 30 days retention (auto move to archive)

From the Phone:

– Outlook Mobile (Android/iOS app)

Set up devices for Office 365 – Microsoft Support

Username: your Microsoft 365 email address

Password: If you already logged in to your computer or browser with your Microsoft 365 account then no password required it will be Seamless Single Sign On (SSO) through Microsoft 365
